Project Coordinator

The Project Coordinator plays a central role in keeping M3's furniture orders and projects organized behind the scenes. Working with clients, sales, project management, manufacturers, installers and internal teams, this position manages orders through the manufacturing and shipping cycle and helps ensure information, products and paperwork are accurate and moving when they should be.

Key Responsibilities

  • Enter and manage customer orders from purchase through invoicing
  • Create and process purchase orders to manufacturers
  • Track orders through manufacturer production and shipping cycles
  • Maintain working knowledge of manufacturer policies, programs and procedures
  • Receive, interpret and respond to manufacturer, installer and vendor correspondence
  • Review shipping and receiving reports and communicate relevant updates
  • Prepare customer invoices and maintain accurate project/order records
  • Coordinate and manage manufacturer warranty issues
  • Communicate with clients, sales, design, project management, service teams and manufacturers
  • Respond to incoming customer calls and requests
  • Maintain customer, vendor and general-ledger database information as required
  • Maintain finish and fabric sample resources
  • Handle confidential information with appropriate discretion
  • Provide responsive internal and external customer service and help resolve issues as they arise

Qualifications

  • 3–5 years of customer service, order-entry or project-coordination experience
  • Commercial furniture dealership experience strongly preferred
  • Strong computer and data-entry skills
  • Experience with ECI/DDMS or similar business/order-management software preferred
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities and deadlines accurately
  • Comfortable working in a fast-paced environment and remaining calm under pressure
  • Collaborative, service-oriented approach to working with both internal and external teams
  • Sound judgment and discretion when handling confidential information
